6. JOB SUMMARY
Support the CEO and other team members with the operational, sales and customer
experience activities of the company.
Performs administrative and office support activities. Duties may include
handling telephone calls, receiving and directing visitors, word processing, filing,
Responsibilities updating client database, assist with planning new employee
coordination meeting, compiling materials, contacting customers, coordinating
client meetings, selling to customers and maintaining customer database records.
Strong computer and communication skills required, as well as sensitivity to
confidential matters. Familiarity with social media platforms is required.
7. ESSENTIAL DUTIES AND RESPONSIBILITIES:
Communicate regularly with CEO and/or Manager to seek assistance, share
information and resolve issues.
Communicate regularly with clients to ensure premium customer service
Communicate regularly with clients to sell professional services
Update and chase delegated tasks to ensure progress to deadlines
Take initiative in manager’s absence
Prepare invoices, schedules and customer proposals
Maintain expense database
Compose correspondence/reports for own or manager’s signature
Arrange essential mail in priority action order for manager
Check deadlines on incoming requests and put preliminary work in play
Process replies on own initiative or from bosses’ dictation or notes
Update expense and banking information for accounting persons
Coordinate workshops and meetings
Maintain calendar; ascertain which events require boss’s presence
Maintain client database in CRM
Contact clients to arrange meetings
Assist with filing of incoming mails and other documents
Arrange travel through internal or outside agents
Routinely monitor and re-order office supplies
Assist with the preparation of letters as per requests

Maintenance of effective online and physical office management systems.

Timely response to queries and requests from clients & CEO
Timely and accurate completion of tasks.
9. AUTHORITY
To assist the CEO in ensuring that all activities and tasks are treated in accordance
with company policies and standards.
8. JOB REQUIREMENTS/ SPECIFICATIONS
8 CXCs including English Language, Mathematics, Entrepreneurship
Excellent interpersonal skills
Excellent communication skills both oral and written
Excellent Problem Solving skills
1 year in similar position
Be able to use Power Point, Excel and Word
Imitative, Flexible, Ethical, Decisive and loves people
Hours of work – 8:30-4:30pm
It may become necessary to work longer hours as the circumstances of the job may
dictate from time to time.
