Position Title: Administrative Associate Department: Accounting
Reports to: Controller/Head of Finance
Dotted report to: Chief of MAs and Office of the President
Supports: Accounting, Finance, Member Associations Affairs and Football Operations
in Kingston, Jamaica
POSITION PURPOSE:
The Administrative Associate will support the Accounting and Finance Department and the Chief
Member Associations and Office of the President. The Administrative Associate will assist in
performing a variety of administrative tasks. Providing support to the managers and employees,
assisting in daily office needs and managing the office’s general and administrative activities.
JOB DUTIES AND RESPONSIBILITIES:

responsibilities after demonstrated success.
Maintains workflow by studying methods; implementing cost reductions; and developing reporting
procedures.
Creates and revises systems and procedures by analyzing operating practices, recordkeeping
systems, forms control, office layout, and budgetary requirements.
Ensures operation of equipment by completing preventive maintenance requirements; calling for
repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Assists and supports in compliance with accounting procedures, documentation of and
adherence to internal controls.
Provides information by answering questions and requests.
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed
supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Manages and safekeeps the petty cash maintaining a proper log with the pertinent
invoices/receipts and a monthly reconciliation to be provided to the corporate office monthly on a
timely basis.
Manages the local vendor’s invoices and provide to corporate for payment following the company’s policies.
Maintains good standing relationships with the local vendors.
Helps maintain accountability of the offices’ financial annual budget.
Assists in training staff on proper company procedures.
Handles special ad-hoc administrative and management projects.
Assists the Chief Member Associations and Office of the President with a variety of tasks as
needed.
Provides translation and interpreting services.
Assists in events coordination.
Welcomes visitors by greeting them, in person or on the telephone; answering or referring
inquiries.
Provides drafting, editing, formatting and reporting services for the Development, Competitions,
Refereeing and One Concacaf & Caribbean Projects Departments (ad-hoc).
Provides a clear analysis to the Chief Officer Member Associations & President’s Office regarding
the current football situation in the Region (regional needs, specificities, status of football,
governance, crisis, etc);
Assists in the provision of general services to Member Associations;
Assists in the implementation of the company's development policy and programs;
Assists in the management of crises that arise in the Member Associations.
SUPPORTIVE FUNCTIONS: (Secondary to required function)
In addition to performance of the essential functions, this position may be required to perform the
following supportive function:
Assist the Chief Member Associations and Office of the President in various matters at Member
Association / Union level.
EXPERIENCE:
The individual must possess the following knowledge, skills and abilities and be able to explain and
demonstrate that s/he can perform the essential functions of the job, with or without reasonable
accommodation, using some other combination of skills and abilities.
Minimum associate degree or equivalent.
3-5 years of related experience as administrative assistant.
Ability to prepare reports and business correspondence.
Possesses experience with translating and interpreting.
Previous experience with budgeting and comparing the budget to actuals on a monthly basis
Must be a process-driven thinker and goal oriented.
Demonstrates knowledge of internal control processes, ethics and a transparent communication
style.
Demonstrates a transparent communication and relationship style with employees, and peers.
Displays ethical behavior and business practices.
Exhibits strong computer skills and knowledge of relevant technology, including Microsoft Word
and Excel.

Demonstrates good interpersonal skills, plus excellent verbal and written communication skills.
Ideal candidate is comfortable speaking and writing (English, Spanish and French).
Candidate must be eligible to work in Jamaica and have a valid passport
Due to the cyclical nature of the entertainment industry, the employee may be required to work
varying schedules including game nights to reflect the business needs of the company.
