General Description of the Role:
The Maintenance Planning and Stores Coordinator is responsible for maintenance planning and the management of the Engineering Stores. This involves planning maintenance and managing maintenance cycles from creation to correct execution; including the management of spare partsboth from a technical and management standpoint and the timely and accurate management ofsupplies, stocks and withdrawals related to the maintenance materials.
Key Responsibilities and Activities:
Reports to the Maintenance Manager and collaborates with the Supply Chain for the
performance of its functions and contributes to the optimal technical solutions for minimizing costs and maximizing production efficiency
Contributes to the optimal technical solutions for minimizing costs and maximizing production efficiency
Defines the plant maintenance program, incorporating the policies of the site, analyzing the emergency and machine failure reports, planning the activities and priorities, in order to
minimize downtime
Manages inspection maintenance and scheduled cyclical maintenance on all packaging lines and technical plant facilities
Prepares and updates maintenance plans, materials and necessary spare parts
Evaluates the data collection on the critical equipment failures, and through a deep
knowledge of problem solving, tackles the root causes to improve the inspection and
maintenance program
Maintains the integrity of the Maintenance Management system and its records, and
manages all the reports relating to its work, work requests, work orders and maintenance
plans
Collaborates in the management of purchases and of the spare parts warehouse: in first person in the management of the underbody, in the registry updates, and in preparing orders for scheduled maintenance materials; in collaboration with the purchasing manager and warehouse for the inventories and the optimization of the rotation indexes
Collates and reports on all departmental corrective action requests (CAR’s) issued through the company's Quality Management System and ensure proper monitoring, completion and compliance
Drives the resolution of non-conformance reports escalating major issues Management
Updates and maintains proper calibration records for instrumentation in the Engineering
Department, ensuring all are calibrated and up-to-date
Ensure the proper receipt and distribution of inventory to and from the Engineering Stores
and all other satellite storage facilities
Monitor the Engineering Stores team’s duties to include the generation of requisitions, and
the tracking and follow up of orders already placed
Monitor the performance of the Engineering Stores staff ensuring that people development
objectives are met
Manage and update data in inventory management software working with system
administrators to maintain the integrity of the overall computerized system
Follow up on outstanding services/parts/supplies trouble orders with the Accounts and Purchasing Departments or directly with the suppliers
Communicate with suppliers obtaining quotations directly for re ordering of low inventory items, effectively negotiating on the company’s behalf to obtain the best pricing
Ensure that parts are properly stored for efficient retrieval, preventing damage and to
preserving shelf life
Coordinate the engineering stores stock taking process ensuring that the exercise is carried out at least once per year maintaining and improving process integrity and coordinating with internal audit
Set up and use KPIs to analyze and continuously effect improvement optimizing stores and procurement operations, improving efficiency and productivity
Generate periodic reports from computerized system on inventory activities and costs
Respond to queries or complaints from internal and external customers and suppliers
Contributes to ensuring the safe operation of equipment
Contributes to the activities necessary to support the maintenance, quality, health, safety and environment management systems
Ensures the proper use of safety devices and personal protective equipment
Complies with Company procedures and provisions on quality, health, safety and
environment management systems in order to continue continuous improvement
Required Education, Skills and Competencies:
Experience of at least 3 years in manufacturing factories with positions in Production and/or Plant Engineering and/or Maintenance
Preference for experience in the Food & Beverage industry
Bachelor’s Degree in Mechanical/Electrical/Chemical Engineering or equivalent
Qualification

Excellent communication skills, both oral & written
Knowledge of engineering principles applicable to a manufacturing environment
Knowledge of engineering standards, in particular statutory and mandatory requirements for facilities, plants and equipment
Knowledge of procurement procedures and practices
Knowledge of inventory management techniques
Knowledge of identification and classification of mechanical and electrical spare parts and
accessories
Competent in the use of Computerized Maintenance Management Software
Competent in the use of Enterprise Resource Planning Software; SAP
compliance with safety and environmental policies and procedures
Competent in the use of MS Office
