JOB OBJECTIVE:
TO EFFICIENTLY AND EFFECTIVELY PLAN, CO-ORDINATE AND ADMINISTER THE FUNCTIONS OF COMPANY’S PROPERTY OFFICE, IN KEEPING WITH COMPANY’S CITIZENS ASSOCIATION LIMITED POLICIES, GOALS AND OBJECTIVES.
TO MAKE SOUND RECOMMENDATION AND DECISIONS FOR THE PROPERTY OFFICE TO FACILITATE CONTINUOUS IMPROVEMENT AND ACHIEVEMENT OF THE GOALS AND OBJECTIVES.
CORE FUNCTIONS:
DEVELOP AND IMPLEMENT STRATEGIES TO ENSURE MAINTENANCE FEES AND SHOP RENTALS ARE COLLECTED, MONTHLY.
ASSISTING IN THE DEVELOPMENT AND IMPLEMENTATION OF EFFICIENT OPERATING SYSTEMS AND PROCEDURES TO ENSURE EFFECTIVE CO-ORDINATION AND PROPER FUNCTIONING OF THE PROPERTY OFFICE, IN ACCORDANCE WITH THE COMPANY’S STATED OBJECTIVES AND THE DIRECTIVES OF THE COMPANY’S DIRECTOR.
ORGANISE, ADMINISTER AND MONITOR THE FUNCTIONS PERFORMED IN THE PROPERTY OFFICE TO ENSURE MAXIMUM EFFICIENCY.
ASSISTING IN DEVELOPING AND PREPARING THE OPERATIONAL PLANS AND BUDGET.
ASSISTING IN NEGOTIATING CONTRACTS OF MAINTENANCE AND OTHER SERVICES.
PROVIDE GUIDANCE ON POLICY MATTERS TO HOMEOWNERS/RESIDENTS.
QUALIFICATIONS AND EXPERIENCE
A FIRST DEGREE IN MANAGEMENT STUDIES, BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE FROM A RECOGNIZED TERTIARY INSTITUTION.
AT LEAST TWO (2) YEARS WORKING EXPERIENCE AT A MANAGERIAL LEVEL IN PROPERTY MANAGEMENT OR THE REAL ESTATE INDUSTRY.
SOUND KNOWLEDGE OF ACCOUNTS RECEIVABLE MANAGEMENT WITH SPECIFIC EMPHASIS IN DEBT COLLECTIONS.
SOUND KNOWLEDGE OF MANAGEMENT PRINCIPLES AND PRACTICES.

RESPONSIBILITIES AND DUTIES:
1. HANDLES THE FINANCIAL OPERATIONS OF THE PROPERTY TO ENSURE THAT MONTHLY MAINTENANCE FEES AND SHOP RENTALS ARE COLLECTED FROM RESIDENTS AND SHOP TENANTS.
2. USE OF KEY PERFORMANCE INDICATORS (KPI), MILESTONE DATA ANALYSIS AND WEEKLY REVIEWS TO MONITOR AND REVIEW THE FIELD OFFICER AND DELINQUENT REPORTS.
3. ENSURE THAT DELINQUENCY LISTINGS ARE PREPARED MONTHLY AND MOUNTED ACCORDINGLY.
4. ENSURE THAT ALL CLICKERS ARE DEACTIVATED FOR DELINQUENTS OVER TWO MONTHS.
5. ENSURE THAT ALL DELINQUENT HOMEOWNERS/RESIDENTS COMPLY WITH POLICIES AND GUIDELINES, ACCORDINGLY.
6. TO SET KPI’S TO ENSURE THAT DELINQUENTS >$50,000.00, ARE CONSTANTLY MONITORED TO PAY ARREARS.
7. TO SET KPIS FOR ACCOUNTING CLERK AND ADMINISTRATIVE ASSISTANT TO MAKE CALLS TO ENSURE COLLECTIONS FOR ARREARS BETWEEN $10,000 .00 TO LESS THAN $50,000.00.
8. TO PREPARE AND PROVIDE MONTHLY DELINQUENCY REPORTS TO ALL CLUSTER PRESIDENTS WITHIN THE FIRST FIVE WORK DAYS OF THE FOLLOWING MONTH.
9. MANAGES THE OVERALL OPERATIONS AND MAINTENANCE OF THE PROPERTY.
10. NEGOTIATE CONTRACTS FOR GROUND MAINTENANCE AND OTHER MAINTENANCE SERVICES AND GET FINAL APPROVAL FROM THE BOARD OF DIRECTORS.
11. CONDUCT ANNUAL REVIEW OF PROCUREMENT CONTRACTS.
12. ENSURE REGULAR UPDATE OF DATA REPOSITORY FOR HOMEOWNERS/RESIDENTS.
13. ENSURE EFFECTIVE COMMUNICATION WITH HOMEOWNERS/RESIDENTS.
14. ENSURE EFFECTIVE RESOLUTION TO COMPLAINTS FROM HOMEOWNERS/RESIDENTS.
15. ENSURE EFFECTIVE RESOLUTIONS TO COMPLAINTS FROM SECURITY PERSONNEL.
16. RESPOND TO INTERNAL OR EXTERNAL QUERIES RECEIVED, CONDUCT THE REQUIRED RESEARCH AND SEEK LEGAL GUIDANCE, IF NECESSARY.
17. CONDUCT ANNUAL PERFORMANCE APPRAISALS FOR DIRECT REPORTS BY JANUARY 31ST, FOLLOWING THE REVIEW YEAR.
18. IDENTIFY AND RECOMMEND TRAINING AND DEVELOPMENT NEEDS FOR DIRECT REPORTS.
19. CONDUCT REGULAR STAFF MEETINGS TO ENSURE TIMELY, ACCURATE AND EFFECTIVE COMMUNICATION OF POLICY DECISIONS AND TO OBTAIN FEEDBACK AND DISCUSS MATTERS OF RELEVANCE.
20. ENSURE EFFECTIVE SUPPORT SYSTEMS FOR THE SMOOTH OPERATION OF THE PROPERTY OFFICE.
21. SIT AS A MEMBER OF THE EXECUTIVE COMMITTEE AND ENSURE THAT ISSUES RELATING TO THE OPERATIONS OF THE PROPERTY ARE TABLED AT MEETINGS AND RESOLUTIONS/RECOMMENDATIONS ARE COMMUNICATED, ACCORDINGLY.
22. PREPARE AND PRESENT MONTHLY REPORTS TO THE EXECUTIVE COMMITTEE, BY THE 7TH WORKING DAY OF EACH MONTH,
23. REPRESENT THE COMPANY, AS DIRECTED, IN KEEPING WITH STANDARD PROCEDURES AND GUIDELINES.
24. PERFORM ANY OTHER DUTIES ASSIGNED.
